Sr. Administrative Assistant

We are seeking a highly skilled and professional Senior Administrative Assistant who excels in a fast-paced environment and is passionate about delivering exceptional support.
The Sr. Administrative Assistant provides high-level administrative and operational support to senior leadership and teams within Scouting America Outfitters. This individual will manage complex schedules, coordinate projects, and serve as a trusted liaison to executives, councils, and external partners. The role requires excellent organizational skills, strong judgment, and the ability to handle confidential matters with professionalism and discretion.
Essential Functions:
Administrative & Executive Support
- Manage calendars, schedule meetings, and coordinate travel arrangements for executives.
- Draft, edit, and prepare correspondence, presentations, and reports for internal and external audiences.
- Handle confidential and sensitive information with discretion.
- Act as the first point of contact for visitors, calls, and executive inquiries.
- Serve as a liaison with internal teams, councils, and external partners.
- Prepare agendas, materials, and follow-up actions for leadership meetings.
- Support budgeting, purchasing, and reporting processes.
- Assist with project scheduling, tracking, and documentation.
- Conduct research and analysis to support organizational initiatives.
- Recommend process improvements to enhance team efficiency.
- Order and maintain office supplies, equipment, and resources.
- Provide guidance and support to other team members.
- Serve as backup for other administrative functions as needed.
- Strong organization and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and collaboration tools (Teams, Zoom, SharePoint, or project management platforms such as Trello, or Asana).
- Analytical thinking and problem-solving skills.
- Exceptional customer service mindset and relationship-building ability.
- Adaptability, discretion, and professionalism in a dynamic environment.
- 5+ years of progressively responsible administrative support experience, including support for senior leaders or executives.
- High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
- Advanced proficiency in Microsoft Office Suite; experience with project management and collaboration tools strongly preferred.
- Ability to work on-site in Charlotte, NC.
